Fact Link: Create & Manage Document Packages

Create Package

Follow these steps to create new document packages:

  1. Go to Fact Link to see the Package List.
  2. Click + Create Package.
  3. Enter the Package Name*, and click the chevron icon to expand the More Details section.
  4. In the More Details section, provide the following information (optional unless importing from Filevine):
    • Description (optional)
    • External Type - Select Project if associating with a Filevine project.
    • External ID - Enter a valid Filevine Project ID if importing documents from Filevine.
  5. Click the chevron icon to expand the Privacy Settings section. Configure the following options if you want to restrict package access to specific users:

    • Private Package: Use the toggle switch to enable or disable whether package visibility and access are allowed for all users or restricted to specific users.
    • When ON: The Share Only With dropdown becomes available.
    • Share Only With: Select the users who will have access to view the package. 

    If no users are selected and the Private Package toggle is ON, the package will be private. Only the package creator and users with Fact Link Admin role will be able to access it.

    • When OFF: The package is visible to all users.
  6. Click Create to save the package.

1. Click Create Package

2. Enter the Package Name *.

3. Enter the Description.

4. Click the chevron icon to expand the More Details section.In the More Details section, provide the following information (optional unless importing from Filevine)

5. in External Type, select Project if you want to associate the package with a Filevine project.

7. In External ID enter a valid Filevine Project ID if you want to import documents from Filevine.

8. Click the chevron icon to expand the Privacy Settings section.

9. Use the Private Package toggle switch to enable or disable this feature.
When ON: The Share Only With dropdown becomes available.

10. In the Share Only With dropdown, select the users who will have access to view the package.

Next step

  • External Type: Refers to the type of external case management system associated with the package. The only current option for the External Type is Project (Filevine).
  • External ID: Required only if importing documents from a Filevine Project. Otherwise this field is optional.

Edit Package Information and Privacy

You can edit your package and privacy settings by updating:

  • Package Name or Description
  • More Details (External Type and External ID)
  • Privacy Settings (Private Package toggle and Share Only With options)

Follow these steps to edit a package:

  1. Go to Fact Link to view the Package List.
  2. Locate the package and click the Edit icon .
  3. Modify the details as needed, then click Update.

4. Click External Type

5. Click External ID

6. Click Privacy Settings.

7. Click Private Package

8. Then click Update.

Next step

Delete Package

  1.  
    1. Go to Fact Link to view the Package List.
    2. Locate the package and click the Delete icon.
    3. Confirm the deletion by clicking the Confirm button in the pop-up.

1. In the Package List view, locate the package and click the Delete icon.

2. Confirm the deletion by clicking the Confirm button in the pop-up.

3. The Package deleted successfully message appears.

Next step

Upload PDF Documents to a Package

  1. Open the package by clicking its name in the Package List, or automatically after creating a new package.
  2. In the Package Content tab, drag and drop the PDF or click Upload your documents here to browse and select files. 
  • Maximum File Size: 2GB per single document.
  • Maximum Files: 20 files per single upload. 

Supported PDF Files: 

  • Accessible Text PDFs: You can create facts by selecting specific text within a PDF page or full-page facts.
  • PDF documents based on images: You can only create full-page facts. This includes scanned documents and image-based PDFs where the text is stored as an image. As the user cannot select text in PDFs based on images, facts based on selected text are NOT supported.
  1. Verify the upload status of the selected documents in the Documents Uploading Queue section. Documents that have been successfully uploaded will appear in the document list. When a document is still being processed, an icon appears with the message: This document is still being processed. Please try again in a few minutes.

4 STEPS

1. The first step is to open Neodeluxe Portal and click here

2. Click Upload your documents here

3. Select the documents and click Open.

4. Verify the upload status of the selected documents in the Documents Uploading Queue section.

Next step

Delete Documents

  1. In the Package Content tab, locate the package and click its name to open it.
  2. Then, locate the PDF document and click the Delete icon.
  3. Complete the action by clicking the Confirm button in the pop-up to delete the document and all its associated facts and comments.

1. In the Package List, locate the package and click its name to open it.

2. Then in the Package Content tab, locate the PDF document you want to delete.

3. Click the Delete icon.

4. Complete the action by clicking the Confirm button in the pop-up to delete the document and all its associated facts and comments.

5. The message appears.

Assign/ Unassign Document Types and Document Subtypes to Documents

Follow these steps to assign Types and Subtypes to documents in a Fact Link package:

  1. In the Package Content tab, locate the package in the list.
  2. Then, in the Document Type column, click the chevron icon to expand the options.
  3. Select or deselect Document Types to assign or remove them. Click All to select or deselect all.
  4. Then, in the Document Subtype column, click the chevron icon to expand the options.
  5. Select or deselect Document Subtypes to assign or remove them. Click All to select or deselect all.

 

In the Package Content list, when assigning Document Types, and Document Subtypes, the Document Subtypes options are dynamically updated based on the selected document types.

For example: If the "Medical Evidence" Document Type is selected, its related subtypes—such as "X Ray," "Lab Results," and "Medical Results"—will appear in the Document Subtypes dropdown, along with subtypes from any other selected Document Types.

4 STEPS

1. In the Package Content tab, locate the document in the list. Then, in the Document Type column, click the chevron icon to expand the options .

2. Select or deselect Document Types to assign or remove them. Click All to select or deselect all.

3. Then, in the Document Subtype column, click the chevron icon to expand the options.

4. Select or deselect Document Subtypes to assign or remove them. Click All to select or deselect all.

Next step

Import Documents from Filevine

To import documents from a Filevine Project, ensure the following when creating the package:

  • Select Project in the External Type field.

  • Provide a valid Project ID in the External ID field.

If this information is missing, configure it before proceeding with the import.

Follow these steps to import documents from the Filevine Project:

  1. Go to the Package, and click Import Documents.
  2. Expand the folders to view their documents and select the files to import into the package.

The folder structure, including subfolders and documents will mirror the structure of the specified Filevine Project.

  1. Click Import Documents to start the import process.
  2. The imported files will be listed with Filevine in the Source column.

8 STEPS

1. Go to the package, and click the ellipsis icon.

2. Then click Import Documents.

3. Expand the folders to view their documents (and subfolders, if any exist in the Filevine folder), then select the files to import into the package.

4. Click the checkbox to include the file.

5. Click the checkbox to include the file.

6. Click the checkbox to include the file.

7. Then click Import Documents.

8. The message appears.

Next step

  • The document import process may take a few minutes. The imported files will not be available for use or editing until the import is complete.
  • Documents imported from Filevine can be up to 25 GB.

Refetch Documents

When documents imported from Filevine within a package do not appear correctly in the list, users can use the refetch button to reload the document list:

  1. Find the package and click its name to open it.
  2. Click Refetch Documents to refresh all the Filevine imported documents in the list.

1. Click Refetch Documents to refresh all the Filevine imported documents in the list.

2. The document list is reloaded.
