Filevine Integration Setup

The Filevine Integration Setup establishes a connection between your Filevine tenant and Neodeluxe, allowing seamless, secure data transfer between both applications. This setup is essential for every new Filevine Project Type added to your organization, ensuring they are available in your Neodeluxe solutions. Follow the steps below to complete the setup:

1. In Neodeluxe, go to the Admin page and select Neodeluxe Portal.

2. Select Filevine Template Setup from the menu.

3. At the Filevine Project Type - Integration Setup interface, read through Step 01: The Basics, then click Next.

In Step 02: Authentication:

  • Enter the Filevine Tenant Subdomain and click Save. In the Applications connections grid you can perform two actions:
    • Click Connect to establish connection between the application in Neodeluxe and the Filevine Tenant Subdomain, OR
    • Click Reconnect to reconnect it with Neodeluxe and the Filevine Tenant Subdomain.
  • Enter or modify the corresponding application Token, and click Connect.

A notification displaying Your application has been connected Successfully appears in the bottom-right corner of the screen, and the configured Neodeluxe Application is correctly integrated with Filevine.

NOTES: 

    • If the entered token is invalid, the message No configuration found is displayed and the connection is not established.
    • Repeat this process for each application to be connected or reconnected.

  • After completing the authentication setup, click Next.

5. At Step 03: Project Type, choose the desired Project Type from the dropdown, then click Next.

At Step 04: Phase Tracker, configure how the project's progress will be displayed by selecting the Phase Tracker Type. Add categories by clicking +Add Phase Category, entering details such as the phase name and percentage, then click Save. Then click Next.
NOTE:
The Phase Tracker feature is only part of the Neodeluxe Client Portal.

  • Progress Bar: All phase percentages must total 100%, and no section can be smaller than 10%.

7. At Step 05: Filevine Collections, click +Filevine Collection to add project collections. Add as ,amy Collections as necessary, selecting the collection name, fields to include, and title (the value that will be displayed to users), then clicking Save. Edit or delete each Collection already saved by clicking the Edit or Delete icon. When all your collections are configured, click Next.

NOTE:

  • Add as many Collections as necessary
  • If no collections are used in your Filevine Project Type, you can skip this step.
  • If Collections Sections are added into your Filevine Project Type after the initial Neodeluxe setup is complete, a Neodeluxe Admin can update the Filevine Integration to include the new Collections Section(s).

In Step 06: Mapping Fields, map the existing sections and fields in your Filevine Project Type to the corresponding Neodeluxe sections. 

NOTE: Neodeluxe pulls data from the Vineportal section in Filevine that was imported into your selected Project Type. To populate data in this section, you must create a mapping between the existing sections and fields in your Project Type and the fields in the Neodeluxe section. Data is synced to the Neodeluxe section when a user views the project in the Neodeluxe Portal.

Key Points for the Mapping Process:

  • Mapping all fields is optional: Only mapped fields will sync.
  • Field Mapping Requirements: 
    1. The Source Field Type must match the Destination Field Type.
    2. For dropdown fields, the items in the Source field must match the items in the Destination field.
    3. The Vineportal section can be customized by updating the section in Filevine, then refreshing the fields list in Neodeluxe. Important: Do not remove the "Internal Team Assignment" or "Portal Access Users" fields during customizations.

Managing the 'Project Team' Section:

  • Use the "Include in Project Team" column to add members to the "Project Team" section in Projects.
  • After filling out the Source Section and Source Field Name, the toggle will automatically activate, indicating that the team member will be included in your "Project Team."

9. 
At Step 07: Adding Users, select whether to automatically add users to Neodeluxe. Selecting Yes will upload a custom report to Filevine with details including:

  • Project Name
  • Project Phase
  • Project ID
  • First Name, Last Name, and Email for the Client on the Project
  • First Name, Last Name, and Email for all of the Neodeluxe user fields in the Neodeluxe section


10.
To finalize the setup, verify your company information in Admin > Company Details. To configure another Project Type, select Click here.
