access - user overview

  • Created

The Users workspace is the centralized environment where administrators manage all user/contact identities within Neostella. It serves as the foundation for identity, access, permissions, and system accountability across the platform.

Every user in Neostella is modeled as a system entity with a unique User System ID, ensuring consistent identification across tools, permissions, activity logs, and integrations. This unified identity model allows Neostella to track how users interact with data, objects, and processes throughout the system.

The Users workspace is admin-only and supports the full lifecycle of a user, from creation and configuration to deactivation and auditing.

purpose of the users workspace

The Users workspace exists to provide administrators with full control and visibility over who can access Neostella and how that access is used. From this workspace, admins can:

  • Create and manage user/contact records
  • Update personal, contact, and employment information
  • Activate or deactivate users without deleting historical data
  • Assign users to groups and permission structures
  • Review how users are associated with projects and objects
  • Monitor user activity for auditing and troubleshooting

Because many Neostella tools depend on user identity, the Users workspace acts as a core system dependency rather than a standalone feature.

user types in neostella

Neostella supports two high-level user classifications:

User TypeDescription
Internal UsersUsers who belong to the organization and operate within its internal structure, such as employees or administrators.
External UsersUsers who do not belong to the organization but are associated with it, such as partners, guests, or collaborators.

Both user types are managed through the same identity framework, ensuring consistent behavior across permissions, groups, and activity tracking.

users workspace structure

The Users workspace is composed of two primary tabs, each serving a distinct role in identity management:

TabDescription
PeopleHuman users created as contacts within Neostella. These records represent real individuals and store personal, contact, employment, and activity data.
Integration UsersSystem-level users that represent applications or services integrating with Neostella. These users enable secure machine-to-machine access.

Together, these tabs allow Neostella to manage both human and system identities from a single administrative location.

people tab (human users)

The PEOPLE tab is the foundation of user and contact management in Neostella. Each row represents a person who exists as both a contact and a user, making this tab the central source of truth for human identities.

From the PEOPLE tab, administrators can access the People Editor, where detailed user information is maintained, including personal data, group membership, and activity history. This data is consumed by multiple tools across the platform, such as Groups, Permission Sets, Objects, Documents, or Finance.

Because of these dependencies, the PEOPLE tab functions as the core user database for Neostella.

integration users tab (system identities)

The INTEGRATION USERS tab manages identities used for application-to-application (machine-to-machine) integrations. These users are not associated with individuals; instead, they provide a secure and permission-based way for external systems to authenticate and interact with Neostella.

integration users

Neostella supports two types of Integration Users:

Integration User TypeCharacteristics
System Integration UsersCreated and managed internally by Neostella; always active; not visible or editable by admins; operate entirely in the background.
Custom Integration UsersCreated and managed by admins; visible in the Integration Users table; configurable with scopes and OAuth credentials; can be activated or deactivated as needed.

Integration Users are commonly used by automation tools, external platforms, and background services that require controlled access to Neostella resources.

how the users workspace fits into neostella

The Users workspace is not just a management tool, it is a core system layer. User records created here directly influence:

  • Permissions and access control
  • Group-based behavior and visibility
  • Audit logs and activity tracking
  • System integrations and automation behavior

Because of this, the Users workspace plays a critical role in governance, security, and operational transparency across Neostella.
