Neodeluxe Mapping Fields

Mapping Fields is a key feature that allows configuring and modifying field mappings between Filevine and Neodeluxe. This feature enables admins to:

  • Add, remove, or modify the display of Filevine Sections and Field Names in Neodeluxe
  • Define which fields are displayed in the Client Portal project team.
  • Ensure consistent and accurate data synchronization across both platforms

To effectively map fields, it's important to understand where the information is stored in Filevine. When a project type is set up in Neodeluxe, a corresponding Vineportal Section is created in Filevine. This section connects the mapped fields, ensuring they are correctly displayed when Client Portal users access their projects in Neodeluxe.

By linking source and destination fields, mapp fields ensures that data from Filevine is accurately updated and reflected in Neodeluxe

Access to Mapping Fields

To access the Neodeluxe Mapping Fields setup:

1. Log in to Neodeluxe and go to the Admin menu.
2. Click on Neodeluxe Portal and then click Mapping Fields.

Mapping Fields Dashboard

The Mapping Fields dashboard contains the following information:

1. Project Types dropdown field.
2. Guidelines.
3. Export button.
4. Mapping Fields table.
5. Source Section column.
6. Source Field Name column.
7. Destination Field Name column.
8. Include in Project Team toggle.
9. Save button.
10. Cancel button.

Configure New Field Mappings

To configure a new field mapping, you must work with all the elements. Selecting the project type, defining the source section, and specifying the source field names. Additionally, ensure that the necessary destination fields are included in the project team. Follow these steps:

1. Select the Project Type.
2. Select the Source Section.
3. Select the Source Field Name.
4. Turn on the toggle in the Include in Project Team column.
5. Click Save, when all fields are mapped.

  • In the Source Section, the selected field must match both platforms (Filevine and Neodeluxe) to ensure proper synchronization.
  • The Source Field Names are part of the Source Section and must align across Filevine and Neodeluxe to sync properly. These fields adapt based on the destination field.

Manage Field Mapping Elements

Although all elements (Project Type, Source Section, Source Field Name, and Destination Field Name) must be configured for a new mapping field, you can adjust them independently during the process. You can modify, remove, or add fields, make selections, and choose whether to include mapping fields in the project team. 

Here’s how to manage each element individually

 

Project Type

Selecting or changing a project type is essential, as it determines which other fields and sections are displayed. Here’s how:

1. Go to the Mapping Fields.
2. Click on the Project Type field and select the Project Type.

 

Source Sections

To add or change Source Sections to the Field Mapping:

1. Select a Project Type.
2. Click the Source Section dropdown menu and select a section.
3. Click Save

To remove an existing Source Sections:

1. In the Source Section column click the “X” icon to remove the section.
2. Click Save.

 

Source Field Name

To add a new Source Field Name or change to another:

1. Select a Project Type and Source Section.
2. Click the Source Field Name dropdown menu and select a section.
3. Click Save

To remove an existing Source Field Name:

1. In the Source Section column and the Source Field Name column click the “X” icon to remove the section.
2. Click Save.

 

Include the Destination Field Name in the Project Team

To include a Destination Field Name in the project team:

1. In the Include in Project Team column, turn on the blue tag to add it to the project team.
2. Click Save

Once the fields are mapped, any updates made will automatically update the corresponding fields in your Filevine’s Vineportal Section. This ensures that data remains synchronized between the two platforms without the need for manual adjustments.
