Why Can't Users Complete Tasks?
Guide for admins.
If a Client Portal user is unable to complete or make changes to a task assigned via Flows, it's likely due to one of the following reasons:
- The user accidentally clicked Save & Submit before completing all required fields and the system locks the task to prevent further modifications.
- The task is already marked as completed. Completed tasks are not accessible for modification unless reactivated.
How to Confirm Task Completion
Currently, there is no direct method for admins to verify task completion. However, follow these steps to confirm if a task it completed:
1. Log in to Filevine and search for your project.
2. Click on the Activity menu and then All.
3. Locate the Task
- Incomplete Task: Shows the message "... has been submitted for review before completion" and the hashtag #TaskSubmittedForApproval. Admins can accept the task by clicking Mark as Complete or reject it using the hashtag #pending.
- Completed Task: Displays a check icon.
Admins can also request a screenshot of the completed task from the user for confirmation.
How to Reactivate a Completed Task
If a task is marked as completed and needs to be modified, the user must contact the admin. Admins can then reactivate tasks retrigging the flow, allowing the user to access and modify it again. Follow these steps:
1. Log in to Filevine and click Project Hub.
2. Select the project and click on the project type section.
3. Modify the information of a field. Click Save.
- For example: If today is May 9th, set it to May 10th.
4. Set the correct information back.
- For example: May 9th.
5. Click Save. This refreshes the system and re-evaluates all the values.
In less than 24 hours, the user must be able to access and modify the task.
Tip For The User: Avoid Premature Submission
Ensure all required fields are completed before clicking Save & Submit. Double-check your work before finalizing the task.
