Overview

Workflows feature in Process Studio -> Control Center workspace allows users to design and manage custom processes for Law Firms. A workflow template is the design of a process, composed of connected elements that define the conditions, paths, and actions the process should follow. Running a template on a specific record produces an execution.

Use Cases

Workflows can be configured to support complex, high-volume legal operations by mapping actual firm processes into automated sequences.

Automated Client Intake and Onboarding

Configure a workflow template to manage the complete client intake process.

  • The Starting rule is configured to listen for the creation of a new Lead or case record.
  • Once triggered, a Nested automation step automatically generates the required engagement letters and initial Intake forms by pulling data directly from the case record.
  • Using smart routing, a Task is immediately generated and assigned to the appropriate Intake team or Legal Assistant based on the case type, ensuring the work continues without interruption.
  • A Delay node can be implemented to pause the execution for 48 hours, followed by a Rule that checks if the engagement letter has been signed.

Medical Record Retrieval and Chasing

Implement a Schedule element to manage the repetitive document collection process.

  • The schedule is configured with a CRON expression to iterate every ten days, generating a follow-up Task for the Case Manager to request medical records from a provider.
  • The schedule's exit rule is configured to listen for a status update on the medical record object. Once the records are marked as received, the iterations cease, and the workflow continues to the next phase of the case.

Demand Package Generation and Routing

Design a workflow for the case resolution phase.

  • When a case transitions to the settlement stage, the workflow triggers the automated assembly of the demand package.
  • A Rule node evaluates the projected settlement value and routes the subsequent review Task. High-value cases are routed to a Practice Leader, while standard cases are assigned to the primary Attorney.
