Overview

Notes allow you to capture relevant information for Projects and Leads, ensuring you retain details you do not want to lose. Use this feature to keep critical updates connected to your actual work, helping you manage parallel tasks efficiently.

 

Features & Definitions

  • Note Type: A category assigned to your Notes to help organize and filter information.  
  • Tags: Keywords you can assign to a Note, making it easier to find related records later.
  • Unassigned: Notes missing to be related to a Project or Lead.
  • @mention: The option to tag team members in a Note. Mentioned users receive a notification.
  • Messages: Conversations created inside a Note, readable by team members with access to the same context.
  • Attachments: Files for Projects or Leads uploaded directly inside a Note to keep relevant documents linked.

 

How to create a Note

  1. Navigate to Cases or Intake.
  2. Go to the Notes section.
  3. Click + ADD NOTE.
  4. Select a Project or Lead respectively from the dropdown list.
  5. Select the Attachments field to upload any relevant files.  
  6. Enter your Note details, including the Assign Tags, Note Type, and Summary fields.
  7. Click Save.

 

How to create a Note using Quick Add

  1. Click the Quick Add icon + button or type N on your keyboard.  
  2. Select ADD NOTE.  
  3. Choose a Project or Lead from the Select dropdown.
⚠ NOTE: If the field is blank, the Note will be marked as Unassigned.
  1. Select the Attachments field to upload any relevant files.  
  2. Enter your Note details, including the Tags, Note Type and Summary.
  3. Click Save.

 

How to view Notes

  1. Navigate to Cases or Intake.
  2. Click Notes.  
  3. Use the filter controls at the top to locate specific Notes.
  4. Try the Unassigned tab to identify Notes not yet related to a Project or Lead.

 

How to view Project or Lead specific Notes

  1. Navigate to Cases or Intake.
  2. Click Projects or Leads section respectivley and select the desired item.   
  3. Click the Notes tab within the project menu.
  4. Use the filter controls at the top to locate specific Notes.

 

How to use Messages inside Notes

This feature allows you to collaborate directly within the context of the Note. Follow this steps to start messaging in a Note:

  1. Open your desired Note.
  2. Select the MESSAGES tab.
  3. Enter your Message details, including external links and mentions.

 

Use Cases

Notes are an important tool for maintaining visibility and control over your workload, especially when managing hundreds of parallel cases. 

  • Documenting Client Calls: Log concise summaries immediately after client follow-ups.  
  • Facilitating Team Handoffs: Leave clear status updates so backup colleagues can seamlessly resume cases.  
  • Tracking Medical Updates: Note when new medical providers are added, attach bills, and @mention the lead Attorney for immediate visibility.

 

Notes

  • Access to Notes is governed by your overall Permissions.
  • When using an @mention, ensure the recipient has access permissions for that specific workspace or project; otherwise, they will not receive a notification or be able to view the Note.
