Overview

The SharePoint integration allows users to edit documents directly in Neostella.

This configuration guide has five main steps:

  1. Create the SharePoint Space.
  2. Accept the Neostella permissions.
  3. Run the Neostella access through Microsoft Graph.
  4. Connect through Neostella.
  5. Common issues and how to fix them.

 

Permissions and Prerequisites:

  • SharePoint Site Owner: This process can only be completed by the Site Owner.

For SharePoint, the Site Selected Permission is needed. It means the app can see any app until the access is denied.

  • SharePoint Tenant.
  • Microsoft Global Admin: For the Microsoft Business account. 
  • Access to Microsoft Graph Explorer.

This configuration can only be completed by a SharePoint Admin user. Only this type of user has the required permissions to configure all the integration steps.

Configuration Steps:

Step 1: Create the SharePoint Site:

  1. Go to the SharePoint main site.
  2. Look for the +New button and click it.
  3. Select the Document Library option. This will open the Create new document library modal.
  4. Select the Blank Library option.
  5. Then, add a Name for the Library. The description is optional.
  6. Click on Create.
  7. The new Library will be displayed as a tab on the site.

i WARNING: Make sure the Site permissions are configured when the site is created.

 

SharePoint Site Permissions:

To confirm the permissions, follow this steps:

  1. Navigate to Settings.
  2. Select Site permissions. This will display the actual permissions configured.
  3. Make sure the Site owners have Full control.

Step 2: Accept the App permissions in Microsoft

  1. On this step, access Microsoft to grant Neostella the permissions needed to connect with Sharepoint. To do this, copy and paste the following URL on the browser:

https://login.microsoftonline.com/{user-microsoft-tenant-id}/v2.0/adminconsent?client_id={application–clientid}&scope=https://graph.microsoft.com/Sites.Selected User.Read

This will load a Pick account section. 

  1. Then click the Admin Account. A “Permission requested” Modal will popup. Make sure the Request is for the Neostella SharePoint Integration.
  1. Click on Accept.

 

Step 3: Run the Neostella access through Microsoft Graph

Microsoft Graph Explorer is a tool used to test and explore API requests. It helps verify that a SharePoint site, document library, list, or file can be accessed and shows the data returned by Microsoft Graph.

To do this, the system uses a Query. It requests either specific information or an action via Microsoft Graph.

For example, a query can request a SharePoint site, document library, list or file.

To do the Query on Microsoft Graph, the following IDs are necessary:

  • Authority ID
  • Site ID
  • List ID

To get them, go to the SharePoint site and follow this instructions:

  1. Left-click on the site interface.
  2. Select the Inspect Option. This will open the developers tools.
  3. Select the Console tab.

  1. On the Console tab, copy and paste the following script, this will bring the required IDs.

i WARNING: If the paste command is not working, the pasting option can be disallowed. To change it, write “allow_paste” on the console text field in the bottom and then press enter.

  1. Once the system brings the details of the site, look for the IDs.
  • authority_id: On the upper part of the table.
  • site_id:- Under the Authority ID.
  • list_id: The one next to the Library Name added on previous steps.

Now that the IDs have been acquired, enter the Microsoft Graph Query Workspace:

  1. Go to: https://developer.microsoft.com/graph/graph-explorer
  2. Click on the first field and select the POST option, shown on the image below.
  3. Now add the following site URL in the web field: 

https://graph.microsoft.com/v1.0/sites/{site_id}/permissions
  1. Replace the URL site with the following template. Change the highlighted information and put the Site ID located in the console used before.

  1. Then, the Request body must be configured, copy and paste the following body text:

  1. Press Run Query. A “Created” response will arrive, make sure the “write” permission was granted.

Step 4: Connect through Neostella 

  1. Go to Neostella and navigate to Control Center.
  1. Look for the Documents section and select Document Settings.
  1. Then go to the SHAREPOINT MANUAL SETUP tab.
  1. Select the Type: Edition. Then add the IDs obtained on Step 3. Adding the Source URL is optional.

The Sharepoint kind determines how the Integration configuration is used within Neostella:

Kind Purpose
File Editing Used for general files that users access and edit through the SharePoint integration.
Templates Used specifically for Microsoft Word Add-In templates.
Mailroom Used for files associated with the Mailroom space.

The three kinds can use the same SharePoint configuration. However, it is recommended to configure a different SharePoint List for each Kind to keep files organized according to their purpose.

  1. To confirm the configuration was successful, navigate to Cases and enter the Documents Section.
  1. Filter the documents by File type and select the Word option. Then click APPLY.

  1. Now, select any Word document, this will open the Document Details Drawer.
  1. To open a new tab on SharePoint, search the Open SharePoint button and click on it. It could take some time loading depending on the document size.

Step 5: Common Issues and how to fix them 

If the SharePoint configuration fails, check the Microsoft Permissions.

  1. To see if the permission configuration was successful go to: portal.azure.com/#home
  1. Look for Microsoft Entra ID and click on it. This will open the Enterprise applications Section.

  1. On the search bar, look for Sharepoint. The Neostella SharePoint Integration will appear on the results.

  1. Select it so the Properties section will be displayed.
  1. On the left side menu, navigate to Security -> Permissions.

  1. This will open the Permissions list. Make sure the Site Selected permission is on the Claim value Column and confirm whether the Admin consent permission is granted.

  1. Finally, on the left side menu, navigate to Manage -> Properties.
  1. Make sure the Enabled for users to sign in option is activated.
