The Documents in the Cases and Intake workspace allows users to easily add, organize, and share documents and folders within Neostella. It provides a secure, centralized space to efficiently manage all electronic files across each workspace (cases and leads management); serving as a central hub for all your documents instead of having separate or duplicated files. .
Key Features
With the Documents option, users can:
- Upload files from their local devices.
- View documents and their details through the built-in Document Viewer.
- Edit metadata to make documents searchable and compliant.
- Navigate and organize documents in the Folders tab.
- Soft-delete documents that are no longer needed and visualize it in the Trash tab (allowing recovery if necessary).
Documents also includes important management features such as:
- SharePoint integration: That allows users to access, manage and edit Office documents (.docx, .xlsx, .pptx) stored in Neostella via Microsoft SharePoint.
- Metadata tagging: Helps organize and locate documents easily, filtering by project, document type, metadata values, and tags.
- Access control: Ensures that only authorized users can view or modify files.
- Document Access via Projects: Documents in Neostella may belong to none, one, or multiple Projects or Leads and can be accessed through the Documents section within a Project or Lead.
- Duplicate prevention: Avoids multiple copies of the same document across the different interfaces in the tenant.
Documents are securely stored using server-side encryption in the AWS S3 tenant’s instance.
Before opening and editing Microsoft Office files (Word, Excel, and PowerPoint) via SharePoint, ensure that the SharePoint integration to Neostella tenant was successfully completed.
