Templates Navigation

To navigate to the Document - Templates page, follow these steps:

  1. After accessing Neostella, click the grid iconand select the Control Center option.
  2. Navigate to Documents > Templates menu.

3. Then, navigate to the Documents menu.

4. And select the Templates menu.

5. The Template Management Interface is displayed.

Template Management Interface

In the Template Management dashboard, there are two sections: a Filter and the Table with the listed templates. These sections are described below: 
 

Filter elements:

Element Description
1. Filter by Name Enter some text to filter templates in the table based on the entered data.
2. Template type Select one or more Template Types (Content or Header/Footer) to filter templates in the table based on the selection.
3. Context Select one or more Contexts to filter templates in the table based on the selection.
4. Status

Select an option to filter templates in the table based on the status.

Available options are:

  • Draft: The template is in Draft status and cannot be used to generate documents.
  • Published:  The template is in Published status and it is available to generate documents.
  • All: Select this option to display both Draft and Published templates.
5. CLEAR FILTERS Click to clear all the applied filters.

Table elements:

In the Template Management table, the created and published templates via Microsoft Word Neostella Document Generator Add-In are listed. 

The table elements are described below: 

Element Description
6. Name Name of the template. When the user clicks the template name, a side panel is displayed.
7. File name Name of the uploaded file.
8. Template type Specifies whether the template is used for: Content or Header/Footer.
9. Contexts Indicates the contexts to which the template is related. 
10. Updated at Date when the template details were last updated.
11. Updated by The username of the person who last updated the template. If never updated, the cell is empty.

OVERVIEW Tab Interface

The following section describe the elements found in the OVERVIEW tab of the side panel.

Element Description
  1. Template name*
Name of the template. This field is editable.
  1. Template ID
Displays the unique identifier assigned to the template within the platform.
  1. Template type
Specifies whether the template is used for: Content or Header/Footer.
  1. Contexts
Indicates the context to which the content is related to. (For example: Project, Person or Organization
  1. URL Context
Displays the associated URL with the template’s context.
  1. Status
Displays the current status of the template.
  1. Created Date
Indicates the date the template was created.
  1. Updated At
Indicates the date when the template metadata was last updated.
  1. DELETE
Click this button to delete the template.
  1. CANCEL 
Click to discard any unsaved changes and close the panel.
  1. SAVE
Click to save changes made to the template metadata.

How to Edit Template Details

Users can change a Template’s details as its name or type. 

This process only changes the template’s metadata (name, type, contexts), not the content within the Word file itself.


To edit the Template’s details, follow these steps:

  1. In the Template Management dashboard, locate the item to be modified and click the template's name.
  2. In the displayed side panel, the OVERVIEW tab is open by default, modify the Template name*, Template type and/or the Contexts.
  3. Then click SAVE. The template was edited successfully message is displayed.
  • The corresponding user name is displayed in the Updated By column.
  • The Context is defined in the Neostella Document Generator Add-In.

How to Download Templates Via Template Management Dashboard


Users can download to their devices one or more templates that were published via the Neostella Document Generator Add-In directly from the Template Management dashboard.

To download Templates (Microsoft Word file), follow these steps:

  1. In the Template Management dashboard, locate the item(s) to download.
  2. Select the checkbox(es) next to the template's name(s).
  3. Then, click the Download icon at the top of the table. The file(s) is(are) automatically downloaded to your device.

Users can delete one or more templates that were published via the Neostella Document Generator Add-In directly from the Template Management dashboard.

The record is logically deleted, but not physically removed.

To delete a Template in the Template Management dashboard, follow these steps:

  1. In the Template Management dashboard, locate the item(s) to delete.
  2. Select the checkbox(es) next to the template's name(s).
  3. Click the icon at the top of the table.
  4. Next, click YES, DELETE TEMPLATE to confirm the deletion. The template(s) was(were) deleted successfully message appears. 

The template(s) is(are) logically deleted, meaning it will no longer appear in the list, but it is not physically removed from the system.

FAQs and Troubleshooting

Who can create and manage document templates?

Any Neostella user with System Permissions for Document Template actions (View, Edit, Delete, Download) enabled.

How can I create and publish a document template?

Templates are created in Microsoft Word using the Neostella Document Generator Add-In. Once published, they automatically appear in the Templates dashboard in the management Control Center.

Can I edit the content of a template from the Control Center?

No. The Control Center > Documents > Template workspace only allows editing template metadata (name, type, and contexts). To edit the current document content, you must edit the .docx file locally saved in your device by using Microsoft Word and the Neostella Document Generator Add-In. Once you modify the template, proceed to publish it.

What happens when I delete a template?

Templates are logically deleted. This means they are removed from the list and cannot be used, but they are not physically deleted from the system.

Can I download more than one template at the same time?

Yes. Select multiple templates using the checkboxes and click DOWNLOAD to download all selected files at once.

What are template contexts used for?

Contexts determine where the template is available for document generation.

Does updating a template change existing generated documents?

No. Updates only affect future document generations. Previously generated documents remain unchanged.
