Neostella’s Data Warehouse audits help verify and maintain data accuracy by comparing information between Filevine and the Data Warehouse. Admins can run audits as often as needed, using Filevine reports stored in an AWS S3 bucket. These audits detect missing or extra data and support both ID- and value-based comparisons to ensure data integrity.
Audits
The Data Warehouse includes built-in auditing functionality that enables detailed verification of discrepancies between the Data Warehouse and Filevine. Admins can audit data in key tables—including contacts, documents, notes, forms, projects, and collections—to ensure accuracy and alignment across systems.
The auditing process relies on your firm configuring Filevine to generate reports and store them in a location accessible to Neostella (typically an AWS S3 bucket). Once set up, Neostella’s audit system uses these reports to identify and flag inconsistencies.
How Audits Work
The Data Warehouse audit engine compares records between Filevine and the Data Warehouse to ensure consistency. Once properly configured, audits can be run as frequently as the client generates and submits reports.
For example, if reports are submitted daily, the audit system can automatically monitor the designated S3 bucket and trigger a new audit process. The engine reviews the data and identifies two main types of discrepancies:
- Missing Data
Object IDs that appear in the Filevine report but are not found in the Data Warehouse. - Extra Data
Object IDs that exist in the Data Warehouse but are not included in the Filevine report.
These discrepancies help highlight data integrity issues and support proactive resolution.
Audit Requirements
To successfully run Data Warehouse audits, the following setup is required:
- The Data Warehouse must be fully hydrated.
- An AWS S3 bucket must be configured to store Filevine reports.
- A dedicated top-level folder must be created within the S3 bucket for report storage.
- Access to Filevine’s builder reports and data connector features is required.
Types of Audits
Neostella offers two main types of audits:
- Audit by IDs
Compares the primary keys (IDs) between the Data Warehouse tables and Filevine reports to identify missing or extra records. - Audit by Values
Compares field-level data to identify value mismatches between systems.
- Audits run only on current schema tables. It does not include historical tables.
- Only a limited number of tables and fields are supported.
- The audit by values are limited to up to 3 fields for any type of table.
