Neodeluxe Terms and Definitions

This guide provides clear and concise definitions for terms you may encounter while engaging with Neodeluxe products. 

Neodeluxe
  • Actions: Options to edit, update, publish, or view statistics.

  • Change Password Button: Initiates the process of updating an account’s password.

  • Filevine Collections: Manage Filevine collection sections and fields that are displayed in the client portal, without needing the Portal Users & Info Section.

  • Preferred Communication Method: User-selected preferences for receiving notifications or messages, such as via email or SMS.

  • Drag-and-Drop: Rearrange fields, sections, or documents by visually dragging and dropping.
  • Email: Used for communication and account identification.

  • Field: An area where users input specific information.

  • Field Codes: Special identifiers or commands that control field behavior and functionality.

  • Field Instruction: Notes or tips displayed next to fields to guide users.

  • Is Active: Indicates the status of an item.
  • Log Out: Ends a user’s session securely.

  • Name: This column shows the name of the project that is listed in your database.

  • Search Bar: Search and filter information.

  • Status: Indicates whether data is live or in draft.

  • System Settings: Administrator-level controls to configure system-wide preferences, such as theme preferences.

  • Theme Preferences: Customize the display of Neodeluxe in either light mode or dark mode.

  • User Settings: Personal information management, including name, email, phone, and password.

 

Data Governance
  • Acceptable Expression: A regular expression (regex) defined by an admin to validate data patterns in a specific Filevine field. If a field input does not satisfy the regular expression pattern, an alert is triggered.

  • Acceptable Value: An approved entry for a specific Filevine field, set by an admin. Alerts are triggered when inputs do not match the acceptable value.

  • Alert: A notification indicating a rule violation within a Filevine project.

  • Condition: The building blocks for criteria; a specific requirement(s) or logical statement(s) that must be met in a Filevine project for a rule to be triggered.

  • Criteria: Criteria refers to a set of conditions defined in a flow that must all be met for a project to enter or exit the flow.

  • Password: A secret combination of characters for login and account access.

  • Phone Number: Contact number for communication or verification purposes.

  • Project Type: Filevine project templates with consistent setups, including sections and layouts.

  • Project Type Class: Further categorizes projects by specific characteristics. E.g., a "Immigration" project type could have classes like "Immigration China" or "Immigration USA."

  • Regular Expressions (Regex): Patterns used for validating text inputs.

  • Rule: A predefined set of input validations to ensure data consistency, accuracy, and compliance. Rules can also control user permissions.

  • Rule Type: Categories of rules that can be applied via Data Governance AI.

 

Client Portal
  • Condition: The building blocks for criteria; a specific requirement(s) or logical statement(s) that must be met in a Filevine project for a Flow to be triggered.

  • Conditionals: This is an editing option to refer to properties that are applied on a per-field basis.

  • Copy View From & Copy From Role: Copy configuration settings from one role to another, ensuring consistency across roles.

  • Criteria: Project parameters configured in a rule to determine when a project should enroll in a Flow.
  • Destination Field Name: When mapping fields, customize the display name of a Filevine field in the portal.
  • Role: Defines the available roles for a Client Portal project. In Filevine, you can add and define up to 10 roles per project, tailoring access to different team members.
  • Source Field Name: Fields from a Static Section that can be displayed in the Client Portal.

  • Static Form: A form that is always visible and open for Client Portal users to edit. The admin assigns specific roles to access these forms. Unlike other forms, it does not rely on a Flow or Message to be available.

  • Only Visible to Owners: This column shows the option to choose if a field should be only visible or not to owners.

 

Forms
  • Add Field Menu: Where specific fields are added to forms.

  • Advanced Layout: This area for reordering or adding new fields to forms.

  • + Create Portal Form Button: Launches the form builder to create a new form.

  • Description Fields: Use a rich text editor to add details about a section in a form.

  • Field Layout: Determines field size, which ranges from one to four columns.

  • Field Name: This column shows the field names automatically populated with data from Filevine.

  • Field Position: Move fields to different spots within the section.

  • Field Settings Section: This is where you control how each field looks and works.

  • Field Type: This column highlights the field type automatically populated with data from Filevine.

  • Field Type: This is where you can choose between different types of fields: Input fields and Description fields. Input fields allow you to include fields from Filevine, while Description fields are for plain and personalized text only.

  • Filevine Field Name: The original name of the field as it appears in Filevine.

  • Form: This is the structure that holds sections and fields used to input information. 

  • Form Builder: This area for setting up a new form.

  • Form Settings: Controls the layout and functionality, including name, status, project type, form type, and description.

  • Form Type: Defines the display and usage type (task form, project form, static form, ATM form).

  • Input fields: Editable fields where users can input information.
  • Mandatory Field: Requires user input before saving or proceeding.
  • Name Form: Title of your form, visible internally and to use.

  • Portal Field Name: A custom name you can assign to the field for clarity or personalization. This is only reflected on the Neodeluxe Portal.

  • Project Details: Information about the project connected to this section.

  • Project Form: An internal form accessible in the Project Form section. Users need the appropriate permissions to view and use these forms.

  • Section Name: Title of the section within a form (e.g., "Employment History").

  • Section Settings: Customizable properties of the form section.

  • Section Template: A predesigned layout you can use to structure your section.

  • Section Type: Type of section available for a form (Form, Collection, or Project Detail).

  • Static Form: A form that is always visible and open for Client Portal users to edit. The admin assigns specific roles to access these forms. Unlike other forms, it does not rely on a Flow or Message to be available.

  • Source Section: Displays the available Filevine Project Type (Static Sections) with fields that can be integrated.

  • Task Form: Linked to a specific flow message and assigned as a user’s task.
