The Entities tool allows admins to create, update, and manage the legal and organizational entities that belong to the firm’s account.
This article explains how to create new entities, edit existing ones, and deactivate entities when they are no longer in use.
how to create a new entity
To create a new entity, follow these steps:
1. Click + NEW ENTITY.
2. Enter the Legal Name.
3. (Optional) Enter additional information:
- Trade Name
- Registration Number
- Email
- Primary Mobile Phone
- Addresses
- Tags
4. Click CREATE.
The new entity will appear in the entities table.

1. To create a new entity, follow these steps. First, click + NEW ENTITY.

2. The Entity menu will be display.

3. Next, enter the Legal Name.

4. Enter the Trade Name.

5. Enter the Registration Number.

6. Enter the Email address.

7. Enter the Primary Mobile Phone.

8. Enter a Primary Address.

9. Enter additional addresses.

10. Enter the tags.

11. Once you’re done, click CREATE.

12. The new entity will then appear in the Entities table.

13. You have created an new entity.

how to edit an entity
To edit an existing entity, follow these steps:
1. In the Legal Name column, locate an entity to edit.
2. Click the entity name.
The New Entity editor opens.
3. Update any of the fields.
4. Click SAVE.
The changes are applied immediately and reflected in the entities table.

how to deactivate an entity
To deactivate an active entity, follow these steps:
1. In the Legal Name column, locate an entity to deactivate.
2. Click the entity name.
The New Entity editor opens.
3. Click DEACTIVATE.
4. In the pop-up message, click YES, DEACTIVATE ENTITY.
The entity will be hidden from the entities table and will no longer be available for active use.

1. To deactivate an active entity, follow these steps. First, in the Legal Name column, locate the entity you want to deactivate.

2. Next, click the entity name.

3. This opens the Entity editor.

4. From there, click DEACTIVATE.

5. In the confirmation message, click YES, DEACTIVATE ENTITY.

6. Once deactivated, the entity is hidden from the entities table and is no longer available for active use.

how to activate an entity
To activate a deactivated entity, follow these steps:
1. Click on the filter button.
2. In Column select Active.
3. In Operator select is.
4. In Value enter No.
5. In the Legal Name column, click the entity name.
The Entity editor opens.
6. Click REACTIVATE.
7. In the pop-up message, click YES, REACTIVATE ENTITY.
The entity will appear on the entities table.

1. To reactivate entity, follow these steps.
First, click the Filter button.

2. In Column, select Active.

3. In Operator, select is.

4. In Value, enter No.

5. Next, in the Legal Name column, click the entity name that is deactivated.

6. This opens the Entity editor.

7. From there, click REACTIVATE.

8. In the confirmation message, click YES, REACTIVATE ENTITY.

9. Once reactivated, the entity will appear in the Entities table and be available for active use.

Entities can be reactivated if needed.
All entities are active by default when created.
Legal names must be unique and cannot be duplicated.
Deactivated entities remain in the system for historical and reference purposes.
Entity information can be updated at any time while the entity is active.
