Summary
This article explains how Admins can map Filevine Collections and determine how their fields appear in the Client Portal.
Filevine Collections Interface
- Go to the Admin menu and navigate to Filevine.
- Select Filevine Collections.
- The Filevine Collections interface allows Admins to configure how the Filevine Collections and fields are displayed in the Client Portal for each Project Type. The interface displays the following information:
- Project Type: Displays the list of existing Project Types in Neodeluxe from Filevine.
- + Filevine Collection: Allows adding Filevine Collections for the selected Project Type.
- Collections: Name of the Collections configured for the selected Project Type.
- Fields: Fields that will be displayed for the Collection in the Client Portal.
- Title: Title that will be displayed to help portal users identify each item of a Collection.
- Actions: Contains the following icons:

Edit: Edit configured and saved Collections.

Delete: Permanently delete configured and saved Collections.

Save: This icon appears when the +Filevine Collection button is clicked, and a new row is included to configure a Collection. It becomes enabled once the required fields are filled, allowing to add the configuration in the list.

Cancel: This icon appears when the +Filevine Collection button is clicked, and a new row is included to configure a Collection. Allows to cancel the action.
- Save: Save the changes applied to the list records.
- Cancel: Cancel the changes applied to the list records.
- When a Project Type is selected, the list will show the collections associated with it.
- If no collections have been configured for the selected Project Type, but there are available Collections in Filevine, the list will appear empty with the message: No Collections have been added for this Project Type. If you want to add a collection, please go to “+Filevine Collection”.
- The +Filevine Collection button is enabled when the selected Project Type has available Collections that haven’t been configured yet.
- If all Collections for the selected Project Type are already configured or the selected Project Type has no available Collections, the +Filevine Collection button is disabled.
- If the selected Project Type does not have available Collections, the list appears empty, with the message: There are no Filevine Collections available for that specific Project Type.
Configure Filevine Collections
Follow these steps to configure Collections from a Project Type:
- In the Filevine Collections interface, select the Project Type.
The list displays the configured Collections for the selected Project Type.
- If no collections have been configured for the selected Project Type, and there are available Collections, the list will appear empty with the message: No Collections have been added for this Project Type. If you want to add a collection, please go to “+ Filevine Collection”.
- If all the Collections have been configured for the selected Project Type, the + Filevine Collection button is disabled.
- If the selected Project Type does not have available Collections in Filevine, the list appears empty, with the message: There are no Filevine Collections available for that specific Project Type. And the + Filevine Collection button is disabled.
- Click the + Filevine Collections button. A new row is added to the list.
- Select the Collection name from the dropdown.
Only not configured Collections for the selected Project Type will appear.
- Select the Fields you want to display.
The available options in the Fields dropdown depend on the selected Collection.
- In the Title field, select a title to help users identify items in the Collection.
- The available options in the Title dropdown depend on the selected Fields.
- The selected Title will be displayed to help users identify each item of a collection.
- Click the Save icon
to add the setup to the list.
- Clicking the Save icon adds the configured Collection to the list, but it is not saved until the user clicks the Save button located at the bottom-left corner of the screen.
- To cancel the action, click the X icon.
- To save the configured Collection, click the Save button.
The message Filevine Collections Updated appears in the bottom-right corner of the screen.
Edit Filevine Collections
- In the Filevine Collections interface, select the Project Type that contains the configured Collections you want to edit.
- Locate the Collection to edit, and click the Edit icon.
- Modify the Fields and/or the Title, then click the Save icon
to add the changes to the list.
- Clicking the Save icon adds the changes to the list, but they are not saved until the user clicks the Save button located at the bottom-left corner of the screen.
- To cancel the action, click the X icon.
- To save the modification, click the Save button. The message Filevine Collections Updated appears in the bottom-right corner of the screen.
The Save button will be enabled once modifications are added to the list.
Delete Filevine Collections
- In the Filevine Collections interface, select the Project Type that contains the configured Collection you want to delete.
- Locate the Collection to delete, and click the Delete icon
. The Collection is removed from the list.
- To save the changes, click the Save button. The message Filevine Collections Updated appears in the bottom-right corner of the screen.
All the modifications applied in the Filevine Collections list will be saved too.
Troubleshooting and FAQs
Why Can’t I Configure Filevine Collections?
When the selected Project Type does not have any available Collections, the list will appear empty, displaying the message: There are no Filevine Collections available for this specific Project Type. As a result, the Collection configuration cannot be performed for that Project Type.
Why is the + Filevine Collection Button Disabled?
The + Filevine Collection is disabled when:
- All the Collections have been configured for the selected Project Type.
- The selected Project Type does not have available Collections.
Why Were the Changes in the Collection Configurations Not Saved?
The Save icon allows you to add the changes to the list, but the changes are not saved until the user clicks the Save button.
To save any modification or deletion, ensure you click the Save button located at the bottom-left corner of the screen.
Why Didn’t the Collection Configuration Delete? The Delete icon
allows you to delete the Collection from the list, but the changes are not saved until the user clicks the Save button.
