Managing Data Governance AI Rules

Using Neodeluxe Data Governance AI, you can maintain and adjust your rules as needed. This article walks through the steps needed to edit, activate, deactivate, and publish rules.

    1. Go to the Rules tab in the Data Governance menu to view the list of rules.
    2. Click the rule name at the rules listing to access the Edit Rule interface.

    1. Modify the rule details as needed and click Save.

    • While the selected rule is in Draft status, all the configured sections can be edited:

    • Criteria (All fields)

    • While the selected rule is in Live status, only the following fields can be edited:
    Rules Based on Acceptable Values Rules Based on Mandatory Fields Rules Based on User Access
    • Rules Details (Is Active* field)
    • Acceptable Values (Operator* and Acceptable Values* fields)
    • Acceptable Expressions (All fields depending on the selected Field*)
    • Rules Details (Is Active* field)
    • Mandatory Fields (All fields)
    • Rules Details (Is Active* field)
    • User Access (Radio button to select Grant Access to or Deny Access to, and Users* field)
  • A rule CANNOT be deleted. However, an Active rule can be disabled by following these steps: 

    1. In the Rules grid, locate the name of the rule you want to disable and click its name.
    2. In the Is Active* field select No to deactivate the rule.
    3. Click Save to apply the changes.

  • An Inactive rule can be activated by following the steps: 

    1. In the Rules grid, select the Show Inactive Rules checkbox, to see the list of inactive rules (highlighted in red).
    2. Locate the name of the rule you want to activate and click its name.
    3. In the Is Active* field select Yes to activate the rule.
    4. Click Save to apply the changes.

  • A rule with Draft status can be started by following the steps: 

    1. In the Rules grid, locate the name of the rule you want to publish and click its name.
    2. Click the Go Live icon in the Actions column.
    3. Click the Go Live button to confirm the action.

    The message Rule Updated Successfully appears in the bottom-right corner of the screen.

    Once a rule is set to Live it cannot be changed back to Draft.

    Now the rule is ready to assess the criteria (if configured within the rule).

    The actions configured for the corresponding Filevine projects (with the same Project Type configured in the rule) are evaluated, and the rule alert is triggered (if it is the case) in the Neodeluxe Sidebar, displaying the configured alert message

    • Rules Based on Acceptable Values: When a Filevine user enters an unacceptable value in the corresponding field.
    • Rules Based on Mandatory Fields: When the criteria for mandatory fields are met.
    • Rules Based on User Access: Whenever the specified users in the rule attempts to access an action they are not authorized to access.
