Summary

Neodeluxe Advanced Conflict Check Pro enables users to identify potential conflicts by generating customized reports based on specific search criteria, such as a person’s name, company, SSN, or driver’s license, directly through the Neodeluxe Sidebar.

  • The Neodeluxe Sidebar only works when an active Filevine tab is open in your browser.
  • Ensure you have installed the latest version of the Neodeluxe Sidebar and are properly logged in. For installation and setup instructions, visit: Neodeluxe Sidebar Setup & Login.
  • Ensure that the appropriate users are assigned the Conflict Check User role. For instructions on assigning roles, visit: Edit Users.

Advanced Conflict Check Pro in Neodeluxe Sidebar Interface

Advanced Conflict Check Pro in the Neodeluxe Sidebar contains the following elements:

  1. Active Tools: Select Conflict Check to access the Advanced Conflict Check Pro panel.
  2. Conflict Check: This section allows users to perform conflict checks.
  3. Autofill Form: Select one of the options:
  • Default: The form is automatically filled with the client’s data from the active Filevine project in the browser tab.
  • Lead Docket: Enter a valid Lead ID* to auto-fill the form with client data from the Lead Docket.
  1. Reset : Click the icon to clear all the fields.
  2. Additional Sections: Select additional sections and fill the desired fields to perform the search. 
  3. Personal Info: Enter information, and perform the Conflict Check search based on it. 
  4. Perform Check: Click this button to perform the search and generate the report based on the entered data.

Additional Sections and fields can be configured based on your requirements.

Perform a Conflict Check

Follow these steps to perform a Conflict Check in your Neodeluxe Sidebar:

  1. Go to the Filevine project you want to manage in your browser tab and select Conflict Check in the Neodeluxe Sidebar.
  2. Click Autofill Form and select one of the following options, to automatically retrieve the available data in the form (You can also enter the form information manually):
  • Default: When selected, the Personal Info and the selected Additional Sections are auto-filled with the client’s available contact data, retrieved from the active Filevine project in the current browser tab.

  • Lead Docket: When selected, enter a valid Lead ID* and click Fill Form. When the ID is valid, the Personal Info and the selected Additional Sections are auto-filled with the available data retrieved from the Lead Docket.
  • The Lead Docket option can be enabled or disabled based on your needs, if your firm relies on the Lead Docket integration. To request the Lead Docket option for Advanced Conflict Check Pro, Admins from your firm can submit a request here.
  • If the Lead ID* is invalid, an error message is displayed.

  1. Select the Additional Sections you want to use to perform the search based on the entered information. 

Additional sections and fields are configured based on your requirements. To request custom Additional Sections (with specific fields tailored to your needs), Admins from your firm can submit a request here.

For example: Additional Sections such as Company Info, Driver's License #, and SSN, with each section containing custom fields can be tailored to your needs.

  1. Input the desired fields in the Personal Info section and Additional Sections that will be used to perform the search and generate the report.

Personal Info Section is displayed by default.

  • Last Name: Enter the last name to be searched. 

Results will include all last names containing the entered text.

For example: Entering "son" in the report may return "Anderson," "Mason," "Davidson," etc.

  • Possible First Names: Type each possible first name and press enter to add it. Users can add multiple first names if needed.

For customized results, users can type specific letters separated by a special character, such as "A_B", and the report will return all names containing both letters in that order. This allows for more flexible search options based on the letters entered.

For example: When A_O is entered, the report results for names could include: Alonso, Charlotte, Jackson, Leonardo, Mason.

  • Date of Birth: Enter or select the date of birth from the calendar (mm/dd/yyyy format).
  • Possible Emails: Type each possible email address and press enter to add it. Users can add multiple email addresses.
  • Possible Phone Numbers: Type each possible phone number and press enter to add it. Users can add multiple phone numbers.
  • The logic between fields in the Conflict Check Advance Pro is "AND," meaning ALL conditions must be met. For list inputs (fields that accept multiple options), the logic is "OR," meaning ANY listed value can match.

For example: For a search with Last Name "Smith" , Possible First Names "John", "Johnathan", "Joe", and Possible Emails "johnsmith@aol.com", "john@gmail.com", or "js@gmail.com", 

The Advanced Conflict Check Pro will include in the report:

  • All Filevine contacts with the last name "Smith" AND any of the first names "John" OR "Johnathan" OR "Joe" AND any of the indicated emails: "johnsmith@aol.com" OR "john@gmail.com" OR "js@gmail.com".
  • Fields are NOT case-sensitive, meaning that the generated report does not differentiate between uppercase and lowercase letters.
  • The values in the following fields are based on a CONTAINS search: 
    • Possible First Names, Date of Birth, Possible Emails, Possible Phone Numbers.

For example: If the user searches for Possible Phone Number 555, all records that CONTAIN this value 555 will be reflected in the report. Variations such as 4555232 or 0555456 (that contain the value) will be included. 

  1. Click Perform Check to start generating the report. The message Conflict Check Processing. Check the activity feed with the result PDF in a moment is displayed.

Execution time varies based on the amount of data being searched. The report will not appear until the process is completed.

Review/ Download the Conflict Check Report

After the conflict check process is performed, you can review the generated report by following the steps:

  1. Navigate to the Activity section to see the report and click on the report's name to open it in a new browser tab.
  2. Click the report (named Conflict Check - mm-dd-yyyy hh-mm-ss.pdf) to open it in a new tab, or click the chevron icon to view available options.

 

  • The report is generated according to the entered information to perform the search.
  • The following elements appear in a Conflict Check report:

 

 

The report is generated across multiple pages, depending on the number of results.

Element Description
  1. Conflict Check - mm-dd-yyyy hh:mm:ss
The report’s title is displayed by default, and includes the date and time when it was generated (mm-dd-yyyy hh:mm:ss)
  1. Summary for Personal Info

Here is displayed the information regarding populated fields in the Personal Info when the Conflict Check was performed, and the summary table with the columns for each field and additional columns.

Populated Fields

  • Possible Last Names: Displays the entered Last Names (separated by comma) when the Conflict Check was performed.
  • Possible First Names: Displays the entered First Names (separated by comma) when the Conflict Check was performed.
  • Date of Birth: Displays the entered Date of Birth when the Conflict Check was performed.
  • Possible Emails: Displays the entered Emails (separated by comma) when the Conflict Check was performed.
  • Possible Phone Numbers: Displays the entered Phone Numbers (separated by comma) when the Conflict Check was performed.

If any of the fields was not populated it does not appear in the report’s Summary for Personal Info section.

Summary Table

This table contains the summary based on the entered information. Columns in the Summary table are:

  • Last Name
  • Middle Name
  • First Name
  • Date of Birth
  • Email
  • Person Types (The contact type for that person)
  • Phone Number
  • Person ID (the person’s identification number in Filevine that matches the Conflict Check search). 
  • Results count (Indicates the number of obtained results for each coincidence)
  1. Results

This section shows the results for each matched person, including a table.

If multiple people are found, results are shown separately for each.

The following information is displayed in the results: 

Person Name, Last name (Person ID)

Indicates the person's first name, last name and ID that match the search.

Results Table

This table contains the results for the indicated person. The column names with the retrieved results are:

  • Project Name
  • Project ID
  • Client Name
  • Phase Name
  • Role

For each row in the Summary for Personal Info table, the corresponding Person Name, Last Name (Person ID), and Results Table are displayed.

  1. Summary for “Name of the Additional section”

This section displays results from additional findings based on the entered information.

If no additional sections were filled, this section won't appear. If multiple sections were filled, each summary will be included.

Additional Lead Docket Results for “Lead Docket Contact”.

Here are displayed the results related to the indicated Lead Docket ID when the Conflict Check was performed, along with the table of lead docket results. 

Populated Fields

Here is displayed the information according to the populated fields in the Personal Info when the Conflict Check was performed.

  • Possible Last Names: Displays the entered Last Names (separated by comma) when the Conflict Check was performed.
  • Possible First Names: Displays the entered First Names (separated by comma) when the Conflict Check was performed.
  • Possible Emails: Displays the entered Emails (separated by a comma) when the Conflict Check was performed.

Lead Docket Results Table

This table contains the results based on the entered Lead Docket ID.

The columns in the Lead Docket results table are:

  • Contact ID
  • Full Name
  • Possible Last Names
  • Possible First Names
  • Possible Emails

 

For example: If when the Conflict Check was performed, in the Personal Info were indicated the following fields: Possible Last Names, Possible First Names, Date of Birth, Possible emails, and Possible Phone Numbers, the Summary for Personal Info in the report will display these files, with the entered data, along the table with the summary of these fields, the Person ID and the Result Count.
