Create & Manage Document Packages

Create Package

Follow these steps to create new document packages:

  1. Go to Fact Link to see the Package List
  2. Click + Create Package.
  3. Enter the Package Name* , and click the chevron icon to expand the More Details section.
  4. In the More Details section, provide the following information (optional unless importing from Filevine):
    • Description (optional)
    • External Type - Select Project if associating with a Filevine project.
    • External ID - Enter a valid Filevine Project ID if importing documents from Filevine.
  5. Click Create to finalize the package.

  • External Type: Refers to the type of external case management system associated with the package. The only current option for the External Type is Project (Filevine). 
  • External ID: Required only if importing documents from a Filevine Project. Otherwise this field is optional.

Edit Package Information

  1. Go to Fact Link to view the Package List
  2. Locate the package and click the Edit icon .
  3. Modify the details as needed, then click Update.

Delete Package

  1. Go to Fact Link to view the Package List
  2. Locate the package and click the Delete icon.
  3. Confirm the deletion by clicking the Confirm button in the popup.

Upload PDF Documents to a Package

  1. Open the package by clicking its name in the Package List, or automatically after creating a new package.
  2. Drag and drop the PDF or click Upload your documents here to browse and select files. 
  • Maximum File Size: 2GB. 
  • Maximum Files: 20 files per upload. 

Supported PDF Files: 

  • Accessible Text PDFs: Create facts from selected text or full-page facts. This includes OCR-processed PDFs.
  • PDF documents based on images: Only create full-page facts. This includes scanned documents and image-based PDFs where the text is stored as an image. Facts based on selected text are NOT supported in PDFs based on images.
  1. Verify the upload status of the selected documents in the Documents Uploading Queue section. Documents that have been successfully uploaded will appear in the list with the following information:
  • Name: Click to open the document and manage facts.
  • Source: Indicate the document source.
    • Uploaded: When the document was uploaded.
    • Filevine: When the document was imported from Filevine.
  • Uploaded by: Shows the name or username of the person who uploaded the package.
  • Uploaded Date: Shows the date the package was uploaded. uploaded.
  • Actions
    • Up Arrow icon: Click to open the document and manage facts.
    • Delete icon: Click to delete the document.

Delete Documents

  1. In the Package dashboard, find the package and click its name to open it. 
  2. Then, locate the PDF document and click the Delete icon.
  3. Complete the action by clicking the Confirm button in the popup to delete the document and all its associated facts and comments.

Import Documents from Filevine

To import documents from a Filevine Project, ensure the following when creating the package:

  • Select Project in the External Type field.

  • Provide a valid Project ID in the External ID field.

If this information is missing, configure it before proceeding with the import.
Follow these steps to import documents from the Filevine Project:

  1. Go to the Package, and click Import Documents.
  2. Expand the folders to view their documents and select the files to import into the package.

The folder structure, including subfolders and documents will mirror the structure of the specified Filevine Project.

  1. Click Import Documents to start the import process.
  2. The imported files will be listed with Filevine in the Source column.

The document import process may take a few minutes. The imported files will not be available for use or editing until the import is complete.

 

Refetch Documents

When users cannot see the full list of imported documents from Filevine within a package, they can refresh the page to reload the document list:

  1. Find the package and click its name to open it. 
  2. Click Refetch Documents to refresh all the Filevine imported documents in the list.
