Can't Find a Project in the Storage Provider

If you are unable to locate a project in your storage provider (e.g., SharePoint or Dropbox), despite it existing in Filevine, the issue is likely related to how the storage provider handles search and indexing.

File Sync ensures that your Filevine project files are  correctly synced to your storage provider. However, this issue is typically related to how the provider's search and indexing functions work. In such cases, initiating a manual index will start the automatic indexing.

Understanding File Sync Project Naming

When your files are synced with File Sync, project folders in the storage provider (e.g., SharePoint or Dropbox) are named with the project ID included to improve searchability.

Example: A project named "Test Project" in Filevine, will appear in the storage provider as "Test Project - 0001" where "0001" is the Filevine project ID.

If you’re searching for a project’s folder in the storage provider, we recommend verifying the search terms you are using. Including both the project name and/or ID in your search query can improve results.

Resolving Search and Indexing Issues

Sometimes, project folders may not appear in search results due to the storage provider’s indexing system. Before following the recommendations below to resolve the issue, please verify that you have double checked the search parameters as outlined above.

  • SharePoint: If a client searches for a project by ID (e.g. "0001") in their SharePoint and cannot find it, a re-index of the storage provider site should be performed.
