Receiving and Managing Tasks in the Neodeluxe Sidebar

Users can manage and resolve tasks using the Advanced Task Management without leaving Filevine. Follow the steps below to to manage tasks through the Neodeluxe Sidebar.

Viewing Current Tasks

Accessing Current Tasks in the Sidebar

1. Navigate to the Current Tasks tab.
2.
Locate the Current Task from Queues (N) section.
NOTE: N is a placeholder variable, the actual number users see will depend on the number of tasks they have.

  • If a task is assigned, the Ask for My Next Task button is disabled, and the current task card is displayed.
  • If no task is assigned, the Ask for My Next Task button is enabled. 

Task Details in the Sidebar

Each Task will display the following details:

  • Queue: Displays the queue's name.
  • Project Name: Links to the Filevine project where the task originated.
  • Priority: Indicates task priority.
  • Due Date: Shows the due date.

To manage the task, click the chevron icon to expand the task card.
NOTE: To view/manage the task in the Neodeluxe application in a separate tab, select the diagonal arrow icon.

Expanded Task Card Details:

  • Instructions: Task details (read-only).
  • Display the tasks flow for this task: Opens the visual Flow in a pop-upScreenshot 2024-12-18 at 12.46.10 PM.png

  • Complete Form: The Complete Form button is only available for Form Type tasks. When the Complete Form button is clicked, a pop-up window displays the form associated with the task.

    • Enter the required information into the form fields and then save the form: 
      • Save and Close: Saves the form’s data and sends it to the associated Filevine fields.
      • Save: Saves the form’s data without sending it to the Filevine fields.
  • Add Note: Add and save notes directly to the task. To view existing notes, click the chevron arrow icon in the top-right corner of the Notes section.

  • Manage Tasks:
    • Resolve
    • Snooze To Me
    • Snooze To Queue

Resolving Tasks

To complete a task, follow these steps:

1. Click Resolve.

2. Select the Resolution Category:

  • Completed
  • No Longer Needed
  • Not Applicable

3. Choose a Resolution Code (based on pre-set options).

4. Add Comments if necessary.

5. Click Save. A notification displaying Task Resolved Successfully will appear in the bottom-right corner

Snoozing Tasks

Snooze Task for Later

To snooze a task to complete it later, follow these steps:

1. Click Snooze to Me.

2. Enter the snooze time (in hours) and click Save
NOTE: Time cannot exceed the maximum snooze time displayed.

3. The task will move to the Snoozed Tasks tab. Snoozed tasks can be manually or automatically reactivated by the user when the snooze time expires.

Snooze Task to the Queue

To snooze a task to the queue and release it for reassignment, follow these steps:

1. Click Snooze to Queue.

2. Enter the snooze time (in hours) and click Save
NOTE: Time cannot exceed the maximum snooze time displayed.

3. The task will move to the Snoozed Tasks tab. Snoozed tasks in the queue can be reassigned to other users.

Reactivating Snoozed Tasks

Snoozed tasks can be reactivated in two ways:

Automatically: Reactivation occurs when the snooze time expires.
Manually: Follow these steps to manually reactivate a snoozed task:

1. Navigate to the Snoozed Tasks tab and locate the task you want to reactivate.

2. Click the chevron icon to expand the task card details.

3. Click the Reactivate Task button.

The task will be moved to the Reactivated Tasks from Snoozed section in the Current Tasks tab, where it can be managed.

NOTE: Snoozed tasks are automatically reactivated when their snooze time expires and are also moved to the Reactivated Tasks from Snoozed section in the Current Tasks tab.

Requesting Task Assignments

To request a new task assignment, follow these steps:

1. Go to the Current Tasks tab and locate the Current Task from Queues (N) section.

2. Click the Ask For My Next Task button. The task will be assigned, and its corresponding card will appear.

NOTE: 

  • If there are no tasks in the Reactivated Tasks from Snoozed Queue section, a new task matching your user labels will be automatically assigned.
  • When a task exists in the Reactivated Tasks from Snoozed Queue section, it will move to the Current Task from Queues section for management.
  • The Ask For My Next Task button will remain disabled if a task is already assigned. It becomes active only after the current task is resolved or snoozed.
  • Users can only have one automatically assigned task at a time.

Claiming Manual Tasks

Users can browse the task inventory and select tasks from queues containing unassigned tasks they wish to resolve. To claim a task manually, follow these steps:

1. Navigate to the Manual Tasks tab and find the queue containing the unassigned tasks. Each queue card contains the following details:

  • Queue: The name of the queue.
  • Unassigned Tasks: The number of tasks currently unassigned within the queue.
  • Tasks Due Today: Tasks that are scheduled for completion by the end of the current day.

2. Click the arrow icon on the right side of the queue card to view the list of unassigned tasks.

3. Click the chevron icon on the right side of a task card to expand its details.

4. Click the Claim Task button to take the task. The task will be  moved to the Current Task from Queues section in the Current Tasks tab, where it can be managed.
