Managing Tasks in Neodeluxe Portal

Who can use this feature?

Admins, Supervisors, and Task resolvers (Limited. Only access to the assigned task details, and resolution interface).

In Advanced Task Management, Admins and Supervisors can view a centralized and detailed overview of Regular: Tasks From Queues, and Single Task tabs, through the Task Management menu, Task option.

In the Regular: Tasks From Queues tab, the user can find the Tasks From Queues. 

In the  Single Task tab, the user can find the Single Tasks that were created through the Neodeluxe Sidebar Extension.

Both Regular: Tasks From Queues and Single Tasks can be managed in the same way.

Viewing a Task's Details 

In the Task Details, the following elements are present:

 

  1. Assigner User: Displays the user that is assigned to the task. If no name is displayed, the task is Not assigned.
  2. Re-enqueued: Shows how many times the task has been snoozed to the queue.
  3. Queue: Displays the queue's name. Clicking it opens the Queue Editor in a new browser tab.

Only Admins and Supervisors can use this link.

  1. Priority: Indicates the task's priority. Click the edit icon next to the priority number to update it.

Only Admins and Supervisors can edit the priority.

  1. Status: Displays the current task status.
  2. Project: Shows the Filevine project associated with the task. Clicking it opens the project in a new browser tab.

Only Admins and Supervisors can use this link.

  1. Assigned Date: Displays when the task was assigned to a user.
  2. Due Date: Indicates the task deadline. Click the date to modify it.

Only Admins and Supervisors can edit the due date.

  1. Instructions: Displays the task instructions.
  2. Notes: Shows any notes added to the task, and the+ Add Note button allows to add new notes to the task.
  3. Snooze to User: Button to snooze the task for the assigned user.
  4. Snooze to Queue: Button to snooze the task back to the queue.
  5. Manually Assign: Opens the manual assignment interface for task assignment or reassignment.

Supervisors can manually assign a task if it hasn't already been assigned. Only Admins can re-assign tasks. 

  1. Resolve: Opens a dialog box for task resolution.

Accessing the Task Queue

Who can use this feature?

Admins, and Supervisors.

  1. Click the Queue's name to open the queue editor in a new tab.

 

Changing a Task's Priority

Who can use this feature?

Admins, and Supervisors.

  1. Click the priority number with the edit icon .
  2. Enter a value between 1 and 100.
  3. Click the check icon to save. 

A notification displaying Task Updated Successfully appears in the bottom-right corner of the screen.

If the entered priority number is not valid, the message Invalid priority value is displayed.

Accessing the Task Filevine Project

Who can use this feature?

Admins, and Supervisors.

  1. Click the Project’s name to open the Filevine Project in a new tab.

Changing a Task's Due Date

Who can use this feature?

Admins, and Supervisors.

  1. Enter the  Due Date in mm/dd/yyyy format, or click the due date edit icon to select the date from the calendar to save the new value.

A notification displaying Task Updated Successfully appears in the bottom-right corner of the screen. 

Adding Notes to a Task

Who can use this feature?

Admins, Supervisors and Task Resolvers.

  1. Click the + Add Note button, and enter the note related to the task. 
  2. Click the Add button to save it. A notification displaying Note Added Successfully appears in the bottom-right corner of the screen. The date, the user who entered the note, and the note itself are displayed.

Snoozing Tasks to a User

Who can use this feature?

Admins, Supervisors and Task Resolvers.

 Click the Snooze To User button, and the Set Snooze Time field will be displayed.

  1. Enter an integer number to set the snooze time in hours, then click the Save icon to snooze the task for later. A notification displaying Task Snoozed Successfully appears in the bottom-right corner of the screen, and the task status is updated to Snoozed for user.  

The entered number (in hours) will determine how many hours the task is snoozed, and cannot exceed the maximum snooze time. If the entered number exceeds the maximum snooze time, a notification is displayed. 

Snoozing Tasks to a Queue

Who can use this feature?

Admins, and Supervisors and Task Resolvers.

  1.  Click the Snooze To Queue button and the Set Snooze Time field will be displayed, as well as the maximum snooze time allowed. 
  2. Enter an integer number to set the snooze time in hours, then click the Save icon to move the task to the queue. 

A notification displaying Task Snoozed Successfully appears in the bottom-right corner of the screen, and the task status is updated to Snoozed to queue

  • The entered number (in hours) will determine how many hours the task is snoozed, and cannot exceed the maximum snooze time. If the entered number exceeds the maximum snooze time, a notification is displayed. 
  • Snoozed tasks in the queue are available in the system to be assigned to other users.

Manually Assigning a Task

Who can use this feature?

Supervisors can manually assign a task if it hasn't already been assigned. Only Admins can re-assign tasks.

  1.  Click  the Manually Assign button.
  2. Select the User Name* from the dropdown list.

Only users without assigned tasks and with matching labels are listed.

  1. Click the Assign button to confirm the assignment. A notification displaying Task Assigned Successfully appears in the bottom-right corner. 

Resolving a Task

Who can use this feature?

Admins, and Supervisors and Task Resolvers.

  1. Click the Resolve button to display the Resolve Task options.
  2. Select from the dropdown the Resolution Category*. The  available options are:
  • Completed
  • No Longer needed
  • Not applicable
  1. Select a Resolution Code* from the dropdown. The available options will be displayed based on the resolution codes that have been created.
  2. Enter Comments related to the task resolution, and then click the Save button to complete the task resolution.

A notification displaying Task Resolved Successfully appears in the bottom-right corner of the screen. 

 Single Tasks

  1. Go to the Task Management navigation menu, and select Tasks. Select the Single Single Task tab. Here users can manage the single tasks in a similar way to the regular tasks explained above.
