Setup: Bulk Updater Automation

The Bulk Updater automation uses multiple different Filevine Project Type templates including case projects, setup/configuration project, and the project to trigger/use the automation.

Project Type (Case Types)

• A general Project Type template defines the structure for specific case types (e.g., Mass Tort, Personal Injury, Immigration).
• These Project Types serve as the target for the Bulk Updater automation.

Project Type: Config

• A dedicated template for setting up automation setup configurations.
• Each target Project Type (e.g., Mass Tort, Personal Injury) must have a unique Configuration Project.
• This template is also used to create one Configuration Project for the Project Type: Admin.
• The Config Project - Admin also contains the Bulk Update - Config collection section where the Bulk Updater automation settings for each target Project Type are defined.

Project Type: Admin

• A dedicated template for creating Bulk Import Projects.
• Contains the Bulk Update - Import section (see below), where:
  • The Bulk Updater automation is triggered, including selecting the function (type of import), uploading the CSV file, and clicking the trigger button. 
  • Field codes required for automation setup are obtained.

Bulk Update - Import Section

There are two ways to configure Import Projects:

Option 1: One Import Project Per Target Template

• Each target Project Type (Mass Tort, Personal Injury, etc) must have a unique Import Project.
• A single trigger button handles imports for all target templates.
• The Config Item for each Project Type must point to its corresponding Import Project (unique Project IDs for each setup) and the automation is triggered by the Import CSV Button.

Example: A setup to include target Project Types for Mass Tort, Personal Injury, and Immigration only requires one Import CSV button, and each Config Item must point to that same trigger button.

• Import Project - Mass Tort
• Import Project - Personal Injury
• Import Project - Immigration

Option 2: One Import Project with Multiple Buttons

• A single Import Project must have individual trigger buttons for each target Project Type.
• The Config Item for each target Project Type must point to this single Import Project, which contains a unique Import CSV Button for each Project Type. 

Example: A setup to include target Project Types for Mass Tort, Personal Injury, and Immigration would have one Bulk Import Project with the following trigger buttons:

• CSV Import Button - Mass Tort
• CSV Import Button - Personal Injury
• CSV Import Button - Immigration

In this case, the automation setup for each target Project Type must point to its corresponding button:

Setup Instructions

Prerequisites

To prepare the Bulk Update Config section in the Automation Setup Project, ensure that the following statements are met:

• Enter the field codes that map to the Project Type section where the imports are performed.
• Ensure the import Project Type is the same as the one indicated in the Global Settings section of this Setup Project.

To check the Project Type, click on the Vitals button in the top-right corner and navigate to the Details tab.

Configuration Setup

NOTE: This setup is based on the Option 1: Import Project Per Target Template setup (where the same trigger button is used), explained in the Bulk Updater Automation Structure section above.

1. In the Config Project - Admin, navigate the Bulk Update - Config section

2. Add a new collection item for by clicking the + Add an Item button.

Each collection item represents one Bulk Updater configuration for each target Project Type template.
Example:

• • Collection Item 1: Bulk Update Config - Mass Tort
  • Collection Item 2: Bulk Update Config - Immigration
  • Collection Item 3: Bulk Update Config - Personal Injury

NOTE: Existing collection items in this section can be modified. 

3. Enter the configuration details as specified below:

• • Reference Name: Provide a descriptive name (e.g., Bulk Update Config - Mass Tort).
    
    
  • Import Project ID: Enter the Bulk Import Project ID from the URL of the corresponding Bulk Import Project.
    
    
    
  • Field Codes: Map the field codes to the appropriate section where the imports are performed. Ensure the Import Project Type is the same as the one indicated in the Global Settings of the project.
    
    
    • Section Selector Field Code: {{csvImporter.sectionSelector}}
    • Import Button Field Code: {{csvImporter.csvImportButton}}
      NOTE: This fieldcode is based on the Option 1: Import Project Per Target Template setup (where the same trigger button is used), explained in the Bulk Updater Automation Structure section above.
    • File Import Field Code: {{csvImporter.fileToLoad}}
    • Functions Field Code: {{csvImporter.functions}}
    • List Append Field Code: {{csvImporter.listAppend}}

NOTE: Field codes must be retrieved from Project Type: Admin > Bulk Update - Import section. If the user is configuring the Bulk Update - Import section in the Bulk Import Project, the corresponding field codes will be pre-populated.

4. In the Import into Project Type field, enter the target Project Type for the automation (e.g., Mass Tort).

5. Save the configuration item by clicking the Create button.

Step 3: Save and Finalize

Click Create to save the configuration item. It will now appear in the Bulk Update - Config interface.
