Overview

Ensure the correct team has access to a project

Automatically add or remove a team to a Filevine project based on project data triggered by a button click, phase change, or static section field value (Dropdown, Person, or Multi-select list). The automation can add or remove one or multiple teams in a single action.

Example: Configure the automation to add the Pre-Litigation team to the Filevine Project based on a specific Case Type Field. Configure an additional automation for when the phase changes to litigation, to remove the Pre-Litigation team and add the Litigation team.

The sections below will provide items to consider prior to configuring your Add Team to Project automation, as well as provide instruction on how to configure.

Important Considerations

  • Your Filevine Instance must have the Filevine Teams functionality that allows you to create teams with individual members, assign project permissions, assign roles, and define project subscription status.

Configuring the Add Team to Project Automation

Initial Configuration

  1. Navigate to your Automation Setup Project sidebar and select the Add Team to Project section.

  2. In the Add Team to Project section, select Add an Item to begin the configuration process.

  3. Input Reference Name and brief description of the configuration.
    Note: This is an internal reference name to assist you when searching for this automation configuration.

  4. Select your Trigger Type:
    • Field Value: Add or Remove a team from the Project when a Filevine Section Field is equal to the value(s) specified in the configuration.
    • Button Click: Add or Remove a team from the Project when an Action Button is activated within a Filevine Section.
    • Phase Change: Add or Remove a team from the Project when the Project reaches the specified Phase.Screenshot 2024-07-11 at 3.22.15 PM.png

Trigger Type: Field Value

  1. In the Field to Watch field, input the Field Selector from the Filevine Section Field to watch.
    Examples: {{intake.incidentType}} or {{caseSummary.caseType}}

  2. In the Field Type dropdown list, select the Field Type of the Field to Watch. The Add Team to Project automation supports three Field Types to watch:
    • Dropdown List
    • Person
    • Multi-Select List

  3. Depending on the Field Type you select, input the following into the Value(s) to Watch field in order to trigger the automation: 
    • Dropdown List: Input the value(s) from the Dropdown List
    • Person: Input the value of the Contact Card
    • Multi-Select List: Input the value(s) from the Dropdown List and select Any or All from the Multi-Select List Logic field

Trigger Type: Button Click

  1. In the Value(s) to Watch field, insert the Action Button Selector value for the button that will trigger the automation.. The Action Button Selector value can be found inside of the Customs Editor Advanced Settings.
    Example: addLitigationTeam

Trigger Type: Phase Change

  1. In the Value(s) to Watch field, insert the Phase(s) that will trigger the automation.

Completing Configuration

  1. In the Team Action field, select whether to "Add" or "Remove" a team when the trigger is met.

  2. In the Team Names field, input the Filevine Team Names to add or remove from the Filevine Project, when the trigger is met.Screenshot 2024-07-11 at 4.26.19 PM.png

  3. In the Activate Bot for ALL Project, select YES to activate the automation across all Filevine Projects in the Project Template. Select NO to only activate the automation in your Automation Test Project.

  4. In the Post Success Note to Activity section, select YES to post a note to the activity section every time a Filevine Team is successfully added or removed from the Project. Select NO to turn these notes off.

  5. In the Post Error Message Note to Activity section, select YES to post a note to the activity section whenever an error occurs and a Filevine Team is NOT added or removed from the Project. Select NO to turn error notes off.
